Office Manager in Poland

SKAKO Concrete A/S, a leader in concrete production solutions, is expanding its innovative horizons with the establishment of a new Office in Poznań, Poland. To support this strategic growth, we are seeking a dynamic and experienced Office Manager who will play a crucial role in the successful operation of our new facility in Złotniki, North of Poznań. As our Office Manager in Poznań, you will be instrumental in shaping the administrative and operational framework of our new office, fostering a productive and collaborative work environment.

 

Key Responsibilities:

Manage Daily Tasks in the Office:

  • Oversee operations including bill payments, correspondence, and liaising with various officials.
  • Assist the manager, especially during their time in Denmark, and take charge of handling core administrative responsibilities and supporting the manager in leading the office employees.
  • Manage financial processes including budget and expenditure tracking.
  • Anticipate needs and address potential issues with solutions.

Meeting Coordination:

  • Coordinate and schedule meetings, ensuring all necessary resources and materials are prepared in advance.
  • Assist with agenda preparation and follow-up on action items.
  • Organize travel arrangements and itineraries.

Communication Handling:

  • Professionally manage calls, emails, and correspondence.
  • Draft responses on behalf of the Head of Office.

Document Preparation:

  • Assist in creating reports, presentations, and other documents.
  • Ensure accuracy and organization of materials.
  • Maintain and manage records and filing systems.

Research and Information Gathering:

  • Conduct research to support decision-making.
  • Summarize findings for informed decisions.

Liaison and Coordination:

  • Act as a liaison between the Head of Office and stakeholders.
  • Facilitate communication and collaboration between team members, clients and partners.

Our requirements:

  • Minimum 5 years of experience in administrative roles or as a personal assistant. Advantage if it was in a Danish company
  • Fluency in English and Polish, with excellent written and verbal skills. Danish is an advantage but not required.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office and relevant software.
  • Knowledge of basic economic principles and financial terminology.
  • Ability to work in an international environment.
